Smart Forms for Jira in Government Cloud

Smart Forms for Jira is now available in Government Cloud environments, enabling secure and compliant data collection directly within Jira.

This deployment is designed for organizations operating under strict regulatory and security requirements, including government agencies and regulated industries. It allows teams to continue using structured forms, automated workflows, and external data collection—while aligning with FedRAMP-compatible standards.

Smart Forms maintains its core functionality in Government Cloud, ensuring that teams can collect, manage, and act on data without compromising security or compliance.

Why Use Smart Forms in Government Cloud

Organizations working in Government Cloud often face challenges with data intake:

  • Sensitive information cannot be collected through unsecured channels

  • External stakeholders may not have Jira access

  • Manual data entry increases risk and reduces traceability

  • Compliance requirements limit how tools can be used

Smart Forms addresses these challenges by providing a controlled and structured way to collect data.

Key Benefits

🔐 Secure Data Collection
Collect information through structured forms while ensuring data remains within your Jira environment.

📊 Centralized Data Management
All form responses are stored directly in Jira issues, providing full visibility and auditability.

🌐 Controlled External Access
Allow external users to submit data without granting Jira access, while maintaining security boundaries.

⚙️ Workflow Integration
Automatically create or update Jira work items based on form submissions, ensuring consistent and traceable processes.

📋 Standardized Intake Across Teams
Use forms to enforce consistent data collection for requests, approvals, onboarding, and more.

Core Capabilities

Smart Forms in Government Cloud supports the same structured workflow approach as in standard Cloud environments.

Form Creation

  • Build forms using a drag-and-drop builder

  • Use elements like text fields, dropdowns, checkboxes, attachments, and date pickers

  • Apply conditional logic to guide users through dynamic forms

Data Collection and Storage

  • Collect responses from internal and external users

  • Store all responses directly in Jira issues

  • Maintain a clear audit trail of submitted data

Work item Creation and Updates

  • Automatically create new Jira work items from form submissions

  • Map form responses to Jira fields

  • Update existing work items with new data from submitted forms

External Form Sharing

  • Share forms via secure links

  • Embed forms on trusted internal or external platforms where applicable

  • Enable structured intake without requiring Jira accounts

Automation and Workflow Integration

  • Trigger Jira Automation rules based on form submissions

  • Move issues through workflows automatically

  • Send follow-ups or request additional information when needed

🔄 What’s Different?

  • Email notifications: Users will no longer receive email notifications for each new response submitted through externally shared forms.

  • Embed element: It is no longer possible to add a new Embed element. The Embed element will remain available only for customers who had already added it in the Cloud app version before migrating to Government Cloud (GC).

➡️ Later this year, we plan to introduce an Upload File element as a replacement for the Embed element.
