Form editing restrictions allow you to limit who can view, edit or manage responses to your Smart Forms - giving you greater control over form access and data security.
These restrictions apply to:
The form itself (editing and setup)
Responses (viewing and downloading via the issue or response tab)
Even with restrictions, users can still:
Add the form to issues
Fill out the form
See the form name, even if they can't open it
🔐 Restriction Options
You can choose between two levels of form access:
✅ Open access
“Anyone can view and edit.”
Default setting
All users can view, edit, and configure the form
🔒 Restricted access
“Only specific individuals can view and edit.”
Only selected users and groups will be able to view and edit the form
The creator, Jira admins, and those granted access will become form owners
You can optionally limit form sharing from issues
📌 Important: Users without access can still add and submit the form, but won’t be able to open it to view or modify it. If automatic form addition is configured, it will still apply to new issues they create.
📝 Response Resubmission Access (Optional Setting)
Enable respondents to edit and resubmit their previously submitted form responses. This is useful for workflows where users may need to:
Update information
Fix submission errors
Add new input after clarification
✅ To allow resubmission, check the box: “Allow respondents to edit their own responses”
👇 How to Set Form Editing Restrictions
1. Go to Smart Forms for Jira
2. Open the add-on and go to the Forms list, hover over the needed form, and click on the Lockicon.
3️⃣ In the Restrictions popup:
By default, anyone can edit and view all forms. To set up a restriction on the form select the option Only specific people can view and edit and choose from the list of individual users or groups who will see and edit the form. Once the limited restriction is selected - other people can’t open to view or edit the form, they only see that the form exists and its owner in the hint. When you add restrictions to the form, a Lock icon will be shown on the form line in the list.
4️⃣ Click Save to apply the restrictions
Once the form has received a restriction, it will be available for editing only to those who have access.
